Zapier Free plan limits
- 100 tasks per month, shared between Zaps and MCP server actions.
- Two-step Zaps only: one trigger and one action.
- One user.
- Polling triggers check for new data every 15 minutes.
- Up to 2,500 records in Zapier Tables and 10 form project pages.
- No premium apps and no pay-per-task billing, so new Zap runs are held once the allowance is used, until it resets.
- New accounts start with a 14-day trial of paid features.
What counts as a task, and what triggers overage
Zapier counts a task each time an action step in a Zap runs successfully. These steps use no tasks:
- Triggers.
- Filter and Paths steps.
- Test runs while building a Zap.
- Steps that error or halt.
- Zapier Tables and Zapier Forms steps.
- Built-in tools such as Formatter, Delay, Looping, Sub-Zap, Digest and Storage.
Some steps count differently:
- Search steps: A search step set to continue when nothing is found still uses a task. See how Zapier counts search steps.
- Code by Zapier: Code steps use more tasks when the runtime is extended. See Code by Zapier task usage.
- Lead Router: Each routed lead counts as several tasks. See Lead Router task usage.
- Zapier MCP: Each successful tool call counts as more than one task. See Zapier MCP task usage.
- AI by Zapier steps use tasks based on the model tier chosen. See AI by Zapier model tier pricing.
- Zapier Agents run on a separate activity quota, not on plan tasks.
Hitting the task limit
- Zapier emails the account at 80% and at 100% of the plan’s task limit.
- On Free, Professional and Team, the task allowance resets each month, also on yearly billing.
- Without pay-per-task billing, which includes every Free account, new Zap runs are held until the allowance resets. Held runs can be replayed from Zap History.
Pay-per-task billing
- Available on paid plans only, and on by default for newer accounts.
- Once the plan’s tasks are used, Zaps keep running and extra tasks are billed at the pay-per-task rate shown in Billing settings.
- That rate depends on the plan and the billing cycle, and it is higher than the plan’s own per-task rate.
- Total usage is capped at 3 times the plan’s task limit, counting the plan allocation and pay-per-task usage together.
- Zapier emails at 80% of that cap and again at 100%.
- At the cap, new runs are held until the billing cycle resets.
- On Professional and Team, only the account owner can turn pay-per-task billing on or off.
When Team is needed instead of Professional
Professional is a single-user plan. Team is the plan for small groups that build or run Zaps together. Team adds:
- Up to 25 users on one account.
- Shared Zaps and folders.
- Shared app connections.
- SAML single sign-on.
- An audit log.
- Per-member task usage export for admins.
- Priority support.
Tasks still come from the task tier chosen, so the move to Team is about people and admin controls rather than task volume. Enterprise pricing is quoted by Zapier sales.
Is Zapier the right fit on cost
Pick Zapier if
- Most Zaps are two-step and low volume, so Free covers them.
- One person builds every Zap, and a single-user plan is enough.
- Filter, Paths and Formatter steps do much of the work, since those steps use no tasks.
Skip Zapier if
- Zaps run many action steps at high volume, since each successful action uses a task. The automation metering guide compares how other meters count.
- Several people need to edit Zaps and Team is outside the budget, since Free and Professional allow one user.
